Personalized Stationery | Your company stationery captures the essence of your company’s purpose and style. It’s your brand and identity, and lets your customers see just how professional your company is. Choosing the design of a stationery or any other form for your business should be simple, fun, and fairly straightforward, but there are many factors you need to consider before you place an order. It is all too easy to have 500 letterheads printed off before you realize that you have forgotten to include your mobile phone number!

Just like business cards, business stationery is no longer used just to provide basic information about yourself and your company. There’s a huge difference between getting a letter on standard blank paper, and getting one that sports a beautifully designed letterhead. A letterhead acts as a marketing opportunity, provides the opportunity for brand engagement and, more than anything else, lends credibility to the words on the page. Ideally, your letterhead will provide easy to read information that is consistent with your other business branding.

A well-designed, attractive and professional business stationery is very important because it not only identifies the company, but it is also an effective marketing tool. Personalized business stationery demonstrates professionalism and can often attract new clients.

Keep it simple | Personalized Stationery

Make sure your stationery is easy to read for clients. Remember: simple is always best. Too many special effects overshadow your message of professionalism. Do not over-use complex effects that call attention to themselves – use such enhancements sparingly. Keep in mind that a letterhead is a communication mechanism – it’s not the content itself, rather the supporting structure that delivers that content.

Define your letterhead text | Personalized Stationery

With all of the points of contact modern businesses have, it can be hard to choose what to include on your company’s stationery. When deciding how to make a letterhead for your business, include the options your clients are most likely to use and those that best display your firm’s strengths. Company name and logo are essential elements to include with all relevant contact details. Feature your company’s postal or street address, phone and fax numbers and email. Your company slogan may be also incorporated if you wish. If you have an appropriate image to include, including it into your design can make your stationery stand out. Good images to choose include a professional picture of yourself, the building your company is located in, or something closely aligned with your logo and brand message.

Select your letterhead font | Personalized Stationery

A letterhead showcases the name of your company, which means the choice of font size, color, and style are very important. Stay away from fancy fonts! You want the name to stand out, not the font. Clients will be looking for text that is easy on the eye, that can portray information clearly and efficiently. If a particular font has been utilized elsewhere within the corporate branding – it may be appropriate to use that font within the stationery design. Fonts should be selected to remain consistent with company image at all times.

Use color sparingly | Personalized Stationery

Color is always an effective tool with stationery and other marketing materials – it attracts attention and makes the read all that bit more interesting! Think carefully about your branding colors, and how you incorporate them into the individual stationery designs. Company colors are typically used to ensure the stationery design remains consistent with other corporate branding. Color must be used selectively to the purpose of emphasizing your company’s name. Color is an incredibly powerful tool that can make or break your stationery design – but as the saying goes, with great power comes great responsibility. Use color sparingly and make the most of the impact it brings to your letterhead design. Also, if your letterhead and stationery has been designed as spot color material, it is critical that BEFORE having them commercially printed that you ALWAYS check your colors with a Pantone Color Swatch Book (there’s also online color swatches available through Adobe). If your long-range plans involve ONLY printing your personalized stationery in your home office, it’s best to set up the artwork using CMYK colors – standard printing inks that personal printers use.

Consider space, alignment and positioning | Personalized Stationery

While you may be tempted to fill in every inch of your stationery with information or pictures, this may make your stationery too “busy” and a potential client will lose interest very quickly. White space can help break down areas of your personalized stationery and allow you to form sections and prioritize the area that is important. For example, in a standard A4 portrait letterhead, consider indenting the logo half its icon width from the edge. This balance of shape and offset will help cement your design to the page, creating a connected design.
